AI for Builders: What’s Actually Useful?

A practical guide to using AI for proposals, estimating, job costing, and the everyday work that takes too much of your time.

Start with something that’s already eating up your week.

You don’t need to become an AI expert or overhaul your business. Pick one task you do repeatedly and see whether AI can make it easier.

Three things to try

Each one follows the same shape: the problem, what AI can help with, how to try it, the prompt to copy, and what to double-check before you trust it.

Turn a site visit into a proposal

You walk the job, talk it through with the client, and then lose an evening turning a page of notes into a proposal.

What AI can help with

Go from meeting notes or a transcript to a structured first draft that follows the pattern of proposals you have already sent.

What you need

  • Two or three of your best past proposals.
  • Notes or a recording from the site visit. Tell the client before you record.

How to try it

  1. In Claude, make a Project called “Proposals.” Drop the past proposals in as examples.
  2. Record your next client conversation with Granola, Pocket, or another transcription tool.
  3. Share the transcript to the project, then run the prompt below.

Copy this prompt

Prompt

Write a proposal for this client like my past ones. List anything they asked for that I didn’t price.

What you should get back

  • A draft in your structure and your wording, with the scope broken out the way you normally break it out.
  • A separate list of things the client brought up that are not priced.

What to double-check

  • Every number. It copies the shape of your old proposals, not today’s costs.
  • The unpriced list. That is usually where the margin leaks.
  • Tell it what you changed and why, so the next draft lands closer.

Get a head start on takeoffs

Counting windows, doors and sheet goods off a plan set is slow work, and it usually happens after everyone has gone home.

What AI can help with

Pull a first-pass count and materials list off a plan set, with the parts it could not read clearly called out. Where a dedicated takeoff tool does this better, use the dedicated tool.

What you need

  • Examples of takeoffs you have done before.
  • The plan set, as a PDF.

How to try it

  1. Share your past takeoffs so it can see how you lay one out.
  2. Drag the new plan document into Claude.
  3. Run the prompt below.
  4. Doing this every week? Save your rules as a Skill so you are not retyping them.

Copy this prompt

Prompt

Give me a takeoff: square footage per floor, window and door counts by type, and framing and drywall materials. Show your math. Tell me what you’re not sure about.

What you should get back

  • Square footage per floor, window and door counts by type, and framing and drywall quantities.
  • The math it used, so you can follow it.
  • A list of what it was unsure about.

What to double-check

  • Spot-check counts against the plans. Treat it like a first pass from a new estimator, not a finished takeoff.
  • Everything on its unsure list.
  • Scanned or low-resolution plans give it trouble. That is where a dedicated takeoff tool earns its price.

Catch job-cost surprises earlier

Receipts pile up in the truck, and the overage turns up a month after you could have done anything about it.

What AI can help with

Compare receipts against the estimate line by line, and flag doubles or charges that look like they belong to another job.

What you need

  • Photos of the receipts, or an export from your card statement or QuickBooks.
  • The estimate for that job.

How to try it

  1. Photograph the receipts, or pull them from your card statement.
  2. Drop them into Claude along with the estimate.
  3. Run the prompt below.

Copy this prompt

Prompt

Match each receipt to a line in my estimate. Show me what I’ve spent vs. what I estimated. Flag anything weird, like doubles or receipts from another job.

What you should get back

  • Each receipt matched to a line on the estimate.
  • Spent against estimated, per line.
  • A flag list: possible duplicates and anything that looks out of place.

What to double-check

  • Every flag, before any of it reaches the books.
  • Matches it marked as uncertain.
  • Faded or crumpled receipts get misread. The total is usually the giveaway.

These work in Claude, ChatGPT, or Copilot. If you’re new, start with Claude or ChatGPT. Use a business account for anything carrying client or money information, and tell people when you’re recording.

AI does the obvious 95%. You own the other 5%.

Four terms you’ll keep hearing

Chat
You ask, it answers. It only knows what you tell it in that conversation, so a question with no context gets you a generic answer. ChatGPT, Claude, and Copilot are all chat.
Agent
Chat answers a question. An agent does the job: drafting the proposal, matching the receipts, sorting the photos. You still approve the work before it goes anywhere, the same way you check a new hire’s paperwork.
Skill
Think of it like teaching a new employee how your company does something, then saving those instructions so they can follow them every time. You might create a skill for drafting proposals in your format, or checking estimates against your pricing rules.
Connector
A connector plugs AI into software you already run, like your email, your calendar, or your job management software. Instead of you copying numbers across, it reads them where they live.

Tools worth knowing about

Sometimes you just need someone to figure it out with you.

You know your business. We know AI and technology.

At Mountain Dev, we work alongside business owners and their teams to find opportunities worth pursuing, put practical solutions to work, and build the skills to keep improving.

Sometimes that means helping your team get more out of tools you already have. Sometimes it means connecting systems or building something new.

The goal isn’t to make you dependent on us. It’s to leave your business more capable than we found it.
